SOP

J1 autism-support team communication SOP

A communication procedure for keeping parent, caregiver, and wider support-team updates aligned without creating overload or confusion.

Purpose

Create clearer, more professional communication across the mother, caregiver, and support team so strategies stay aligned and important observations do not get lost.

Use this when

  • the child has multiple support adults
  • home and school feedback both matter
  • regulation and transition strategies need consistency

Communication rules

  • use concise, high-signal updates
  • separate observation from interpretation
  • flag changes that affect routine consistency
  • close loops when action is needed

Procedure

  1. Log notable successes, regulation challenges, and transition issues the same day.
  2. Send the parent only the most relevant updates that affect trust, timing, or meaningful progress.
  3. Prepare one weekly care-team summary with: what worked, what was difficult, what should remain consistent, and what needs review.
  4. When a new request or concern appears, decide whether it fits an existing Family Care Need or requires a new one.
  5. Update the Care Inputs Plan if strategy changes are approved.

What to avoid

  • constant low-value messaging
  • vague emotional summaries without specifics
  • changing the home strategy without documenting it
  • assuming the team shares the same definitions

Validation path

Fewer repeated misunderstandings, clearer cross-adult consistency, and better monthly review quality over 4 weeks.
