For Camps & Seasonal Programs

Twenty strangers in June. A team by the end of week one.

Camps run on people who are not there every day and children who arrived this morning. CalmCare is built for exactly that — the first day, the handover, the update home, and the counsellors you want back next summer.

The camp problem

Everything that makes a camp wonderful makes it hard to run.

Seasonal staff hired in a rush and gone by September. Part-timers, retired teachers who give one day, students who give six weeks. Children who need to become friends by Tuesday or they will not want to come back Wednesday. Parents who paid for a week and want to know what happened in it. None of that fits software or training built for a fixed full-time team in one building.

Day one

Games that turn strangers into friends who come back

Names, pairs, a job for everyone, and the end-of-day circle. The same rituals scaled for the adults: buddy pairs for counsellors, the mid-session check, and closing week without losing the people you want next year.

Keeping twenty organized

Transitions, stations, signals and songs

How a room or a field moves without shouting: roles for the second adult, what happens at the door, at lunch, at pickup, and the watch list of children to observe deliberately this week.

A team that isn't there every day

Onboarding in a shift, not a week

The short pack a seasonal hire completes before day one. Written handover for people who never overlap. A coverage view two weeks out so a gap is filled from the bench, not discovered at seven in the morning.

The update home

Parents hear it from the child

One thing I did, one thing I liked, one thing I want tomorrow — captured in the child's words and sent home. At the end of the session, a report families keep and show the grandparents.

How a season runs on CalmCare
1

Set up the session

Dates, age bands, ratios, your guidelines in the app. Counsellors join by invite and confirm they have read the playbook before the first child arrives.

2

Run the week

Attendance, the daily rhythm, care moments, the Friday reflection that seeds next week. Families get the update; you see who is expected and who is here.

3

Close it well

Session-end report to families, a pulse for the counsellors, and a bench list for next summer of the people who said yes and meant it.

Priced per season

One number for the summer. Families do not pay.

Tell us how many children, how many counsellors, and how many weeks.
